Office Policies



Due to the large volume of children we care for, 24-hour notice is requested for any cancellations or changes in scheduling, so we may accommodate other children who are in need of treatment. Appointments canceled in less than 24 hours may be subject to a cancellation charge. As a courtesy, we attempt to reach all patients 1-3 days in advance for confirmation. However, the final responsibility for all appointments lies with the parent/guardian. Please indicate your preferred method of contact (phone, text, email). Our office is open 6 days a week, with one late night, and several holidays to accommodate you and your child's busy schedule.

Treating children can be unpredictable, and delays to the schedule can occur. Your understanding and patience are very much appreciated if we run behind because of an emergency situation or a child in need of extra care. If your child has pain or an emergency situation, every attempt will be made to see you that day. We are also on-call 24 hours/day, seven days a week, with a live operator ready to take calls and place you in direct contact with either Dr Debbie or Dr Charles after hours.



Arrangement of payment for professional services provided is due upon completion of treatment (at each visit) unless specific financial arrangements have been made. If such arrangements are needed, we will be glad to assist you. In-house payment plans can be discussed help meet your needs. For your convenience, we accept personal checks, cash, Visa, MasterCard, Discover, and American Express. For those patients with insurance, we are a preferred out of network provider and happy to assist you in completing the required forms for your reimbursement after treatment is completed. Most insurance forms can be sent by our eClaims program which submits the completed form online that day. This will eliminate paperwork for you and allow a quick reimbursement to you, usually within 2 weeks. We will do everything possible to see that you receive the full benefits of your insurance policy.

Our staff will work with you to provide the best dental care for your child in a convenient, timely, affordable manner that both you and your child will be completely satisfied with.



We are glad you have dental insurance to help you in affording your dental care. As a courtesy, we are happy to assist you in filing the necessary forms to help you maximize the full benefit of your dental insurance coverage. Electronic claim submission allows reimbursement typically in 2 weeks. It is your responsibility to follow up on claims submitted, and we will help you receive your full benefit should the insurance company require any additional information. Dental insurance is different than most medical insurance plans and it is important to be aware of the following:

  • Insurance is an agreement between you and your insurance company. The insurance relationship constitutes an agreement between the carrier, the employer, and the patient. Our dental office is not a party to that contract. As such, we can make no guarantee of the estimated coverage or payment.

  • Full dental fees are not always covered. Insurance companies base the amounts they pay on restrictive fee schedules, regardless of what our actual fee may be.

  • Not all dental services that are necessary for proper dental health are a covered benefit in all contracts. This depends on the kind of plan your employer has purchased.
